Executive Assistant
Responsibilities:
* Administrative and Executive Support: Support the Management in the day-to-day management of the leadership team and office operations. Serve as the CEO primary point of contact, managing schedules, communications and administrative tasks. * Project Coordination: Support and manage various initiatives and special projects from conception through implementation. Ensure projects are completed on time, within scope, and within budget. * Research and Material Preparation: Conduct research and gather information to support decision-making processes. Assist in preparing and supporting the presentation of detailed reports, data, and materials on various company-related topics.. * Operational Efficiency: Help facilitate and streamline operational procedures to enhance efficiency and effectiveness within the organization. * Stakeholder Relations: Build and maintain strong relationships with internal and external stakeholders to support the CEOs initiatives and organizational goals.
Success Criteria - First 90 Days
* Operational Integration: Gain a thorough understanding of company operations, culture, and key stakeholder relationships. * Executive Support: Efficiently manage executive schedules, communications, and administrative tasks, ensuring seamless daily operations for the CEO and leadership team. * Project Initiation: Begin coordinating and supporting various initiatives and special projects, ensuring they are on track for timely completion. * Research and Material Preparation: Provide reports and data to support decision-making processes, demonstrating accuracy and attention to detail.
Success Criteria - First 180 Days
* Project Execution: Successfully manage and complete initial initiatives and special projects, delivering measurable outcomes aligned with the companys goals. * Operational Efficiency: Implement and streamline operational procedures, contributing to enhanced efficiency and effectiveness within the organization. * Stakeholder Relations: Build and maintain strong relationships with internal and external stakeholders, effectively supporting the CEOs initiatives and organizational goals. * Decision-making Impact: Consistently support delivery of high-quality research and materials that aid in informed decision-making and strategic planning.
Requirements
* Experience Supporting Executives: A minimum of 2+ years experience supporting C-Level executives, ideally in high-growth companies. * Effective Communicator: Strong verbal and written communication skills, with the ability to convey information clearly and concisely. Fluent in both German and English. * Attention to Detail: High attention to detail, ensuring accuracy in research, reports, schedules, and all tasks. * Resilient and Flexible: Able to adapt to changing priorities and remain composed under pressure. * Dependable and Trustworthy: High level of integrity and discretion in handling sensitive information. Reliable and consistent in providing quality support to senior management. * Tech Savvy: Experience working with Google Workspace, Slack, and Notion.
