Job Summary
The Assistant Second Purser plays a critical role in assisting the Second Purser Pax/Crew in the process of ship clearance, documentation, and various administrative tasks within the Hotel department. The role involves managing a range of responsibilities related to guest and crew clearance, electronic visa verification, and administrative duties that ensure the smooth operation of the ship. The Assistant Second Purser will also provide support to the Front Desk when needed.
Responsibility and Authority
- Clearance Assistance:
- Assist the Second Purser in verifying visas, electronic visas, electronic ETAs, and other clearance-related documentation for guests.
- Collaborate with guests and crew to ensure the timely submission and verification of required documents.
- Stay updated on changing clearance requirements for various countries and assist in adapting to new procedures.
- Offer proactive assistance to guests who may not have submitted the required declaration, electronic arrival applications etc. before boarding, ensuring they understand the process and assisting them in completing necessary submissions promptly.
- Guest Check-In and Document Verification:
- Play a pivotal role in the guest check-in process, ensuring that all required documents, including visas, passports, and other travel-related paperwork, are thoroughly examined, and verified for compliance with entry requirements at each port of call.
- Collaborate closely with the check-in team to expedite the process, offering guidance to guests and promptly resolving any documentation issues to facilitate a smooth embarkation experience.
- EU Lisa and Other Verification Processes:
- Prepare and execute verification processes such as EU Lisa (electronic verification of entry eligibility) and other similar procedures as required.
- Manifest Management:
- Ensure passenger and crew manifests are prepared and submitted as required by various countries' requirements and electronic portals.
- Maintain real-time accuracy of passenger and crew manifests, ensuring that all changes, additions, and departures are promptly reflected in the documentation.
- Face-to-Face Inspections:
- Assist in handling scheduled and last-minute face-to-face inspections; reallocating resources to accommodate unexpected inspections while maintaining other responsibilities.
- Local Authorities and Pax/Crew Issues:
- Interact with local authorities and address any unusual occurrences or issues promptly.
- Assist other ship departments, such as Deck, Engine, Food & Beverage etc., with in-port requirements and passenger/crew issues.
- Crew Office Assistance:
- Collaborate with the Crew Office to assist in the management of crew documentation, ensuring that all necessary clearances, visas, and certifications are up to date and compliant with international regulations.
- Streamline communication between the Crew Office and other departments to facilitate crew-related matters and resolve any documentation-related issues efficiently.
- Assist in maintaining accurate records and databases related to crew documentation, including expiration dates, renewals, and compliance status.
- Generate regular reports for the Crew Office and ship management to ensure that crew documentation is in order, assisting in compliance audits and inspections as necessary.
- Administrative Tasks:
- Handle administrative tasks related to amenities, new cruise preparations, reception floats, and other duties as assigned.
- Support to Chief Purser:
- Provide support to the Chief Purser when the ship is short of a Second Purser, assisting in clearance requirements, cruise reparations, and other tasks.
- Assist Executive Concierge:
- Assist the Executive Concierge with administrative tasks, ensuring the smooth operation of the Front Desk.
- Provide supervision and support to Receptionists when needed.
Education And Experience
- Proficiency in MS Office Suite
- Previous experience in a purser or administrative role on a cruise ship is preferred.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal skills.
- Ability to adapt to changing clearance procedures and requirements.
- Understanding of guest and crew documentation processes.
- Flexibility to handle unexpected situations and demands.
- Ability to work effectively within a team and collaborate with various ship departments.
- Strong attention to detail and commitment to accuracy.
- Ability to work well under pressure.
- Experience with handling electronic visa and clearance processes is a plus.
