For my client in Vienna in the Medical industry I am currently looking for a Freelance Office/HR Coordinator (m/f/d) who can start from January 2025.

- Duration: 12 Months contract (+ extensions)

- Location: Vienna, 12 District.
- Workplace: full-time in the office (no home-office possible)
- Project's language: German (fluent, C1-C2 level) and English (good communication skills are required)

Position summary:
The coordinator provides support to HR Manager in various HR tasks and projects, implements own small projects in coordination with HR Manager, and functions as backup for urgent HR issues and in absence of HR Manager
Main tasks:
- Supports in HR topics (recruiting, learning & development, compensation & benefits, occupational health & safety, reporting etc.)
- Act as the local HR Support for the business
- Plans and implements national HR projects in accordance with HR Manager.
- Supports in technical HR issues (software implementation projects, data bank maintenance/updates etc.)
- Backup for HR issues and in case of absence of HR Manager.
- Oversee office supply inventory, managing orders and restocking.
- Manage vendor relationships, negotiating contracts.
- Act as a point of contact for office inquiries, directing visitors and employees to the appropriate resources.
- Distribute communications and announcements to ensure employees are informed about relevant updates.
- Help organize office meetings, gatherings, and company events by coordinating logistics and preparing materials.
- Set up and maintain meeting rooms with necessary equipment and supplies, including managing video conferencing technology.
- Support general office management.
Desired profile:
- At least 2 years of Professional experience in Human Resources
- Established Know how in Austrian legislation and collective agreements.
- Good knowledge of MS Office and ideally of data banks (e.g. SAP- Success Factor)
- Excellent communication skills (internal and external communication) in German and English
- Hands-on mentality, self-motivation.
- Well-organized, structured, affinity to numbers, laws and rules.
- Customer orientation
- Availability to conduct Interviews the week of 9-13 December (first round is online and second round on-site).
