COUNTRY AND POSITION CONTEXT
The World Bank Group has a significant presence in Vienna, Austria, with the office housing the Western Balkans CMU (ECCWB), the majority of the ECA Practice Managers and many of their task teams, as well as IFC’s regional office for Europe. Since its inception 17 years ago, the Vienna office has also hosted teams managing various trust funded programs funded by the Austrian Government. The Vienna office is effectively a regional operations hub, hosting over 300 WBG staff, with the ECCWB Country Director acting as head of office.
In order to ensure the smooth functioning of the Vienna office, the World Bank is seeking a well-organized, proactive and motivated individual for an Extended Term Temporary (Team Assistant) to staff the office reception area.
DUTIES AND ACCOUNTABILITIES
The selected candidate will report to the Vienna Office Sr. Operations Officer and coordinate work with the administrative team. He/she is expected to undertake clerical and receptionist duties in the Vienna office reception area.
Reception Duties
• Interact with visitors, referring routine inquiries, relaying messages and other core reception tasks.• Sort and distribute incoming and outgoing mail, deliver urgent mail/messages, handle courier services. • Channel telephone calls and upon request handle correspondence; independently respond to extensive and diverse inquiries. • Order and monitor office supplies; assist in maintaining files (both paper and electronic).• Maintain distribution lists together with other teams/units supporting staff, office directory and other systems, documents.• Maintain the log of building access cards, check-out forms, etc.• Maintain the office access system and all related tasks.• Draft routine correspondence and translate/proofread materials in German and English.• Act as a back-up to administrative and support staff when required and perform other duties as required to support the smooth functioning of the office.
Office support
• Serve as the point of contact for staff on issues related to the office facilities and report back to the Vienna office administrative team.• Assist in office facility management by communication with building facility management company or other respective external vendors to resolve any damages or issues.• Assist with asset management maintenance for office equipment, furniture and fixtures.• Provide administrative support such as transaction processing, inclusive of PO processing, vendor registration, maintain office inventories and records management, etc. • Provide back-up support to other administrative and support staff in the Vienna office when required.• Supporting the broader Vienna administrative team by flexibly providing a wide range of administrative support as needed.

Selection Criteria

• High school diploma with a minimum of 2 of direct relevant office support experience in a large international or multinational or corporate or public service organization. • Intermediate or advanced knowledge of personal computers and ability to use standard computer applications suite (e.g. MS Office).• Demonstrated ability to work independently, respond to, and deal effectively in diverse situations with good judgment, discretion, and diplomacy in handling confidential and sensitive matters• Excellent communication skills, both written and spoken, in German and English. • Ability to quickly acquire a good knowledge of the Bank’s organization, procedures, policies and practices • Demonstrated excellent interpersonal, organizational, and time management skills• Proven ability to work effectively in a team-oriented, fast-paced environment, and contribute towards common goals.
