The European Society of Radiology (ESR) is a non-political and non-profit organisation dedicated to strengthening and uniting European Radiology. With more than 140,000 members worldwide, it has become the largest radiological society that organises one of the most innovative scientific congresses in this field, the European Congress of Radiology (ECR), in Vienna.

We are looking for a new team member (full-time, 38.5h) to support the European School of Radiology (ESOR) in delivering high-quality educational programmes and workshops for radiologists worldwide.

Tasks

We are looking for an organised, detail-oriented administrative all-rounder. You will be coordinating multiple projects, liaising between different stakeholders, and making sure everything runs smoothly behind the scenes. You will join a collaborative team of six, working together to manage the logistics of various 70+ educational initiatives.

As part of our team, you'll handle the logistics and administration of ESOR’s educational initiatives, ensuring seamless coordination between faculty, sponsors, technical teams, and other stakeholders. Your main tasks will include:

Programme & Workshop Coordination

  • Managing administrative processes for 25+ on-site courses and 40+ online workshops per year
  • Coordinating with faculty (sending invitations, reminders, Zoom links, instructions)
  • Organising travel, accommodation, and reimbursements for speakers
  • Liaising with streaming providers, website hosts, sponsors, travel agents, and more
  • Facilitating contract signing with speakers and sponsor

Training & Fellowship Programmes

  • Handling applications, organising participant data
  • Liaising with training centres and decision-makers
  • Communicating acceptance/rejection to applicants
  • Collecting feedback and final reports from participants

Content & Technical Support

  • Website updates using WordPress (Elementor) - prior experience in website content managing is welcomed, but not necessary - we can teach you that!
  • Social media coordination (scheduling posts via Buffer) - experience in social media advertising is a plus, and the willingness to take on this task is key!
  • Proofreading and preparing mailings, PowerPoint presentations, and event materials
  • Light graphic design tasks (e.g., using Canva for banners or flyers)

General Administrative Tasks

  • Managing emails and correspondence (this will be a big part of your day!)
  • Keeping track of programme logistics via Excel, Google Sheets, and internal databases
  • Assisting with contract administration and documentation
  • Preparing meeting agendas, minutes, and reports

Requirements

Background: A degree is not required, but experience in event coordination, project administration, or a similar role is a plus!

Languages: Excellent English skills (written & spoken) – additional languages are a bonus

Tech-savvy: Comfortable with MS Office, Excel, Google Docs, and willing to learn new tools (e.g., WordPress, Buffer, InDesign)

Organised & detail-oriented: You love planning, structuring tasks, and keeping track of deadlines

Strong communicator: Most of your work will involve emailing and coordinating between different teams

✈️ Willing to travel 4–5 times per year (3–6 days per trip) for on-site workshops

Bonus points for: Experience in social media management, marketing, WordPress, or Canva
